Introduction

The Farm Leadership Council ("FLC") provides opportunities by which farmers across the Prairie provinces can improve the business of farming, bring value to their operations and the commodities they produce as well as their communities.

The Personal Information Protection and Electronic Documents Act ("PIPEDA") has been put in place to respond to the privacy concerns of Canadians relating to the collection, use and disclosure of personal information in the private sector. Consistent with FLC’s commitment to our members’ privacy and the protection of their personal information, FLC has developed in conformity with the requirements and principals of PIPEDA the following privacy policy to ensure our accountability to you, our members.

What Is Personal Information?

Personal information includes any factual information about an identifiable individual. Personal information collected by FLC may include but is not limited to the following: age, name, Social Insurance Number, address, postal code, personal and business phone numbers, fax numbers, email addresses, websites and individual or company profiles.

Why Do We Collect Personal Information?

As a member driven organization, FLC is committed to providing access to educational, informational, networking and communications opportunities within the agriculture and farming industry. FLC is committed to bringing together like-minded individuals and organizations to network and work together toward promoting and benefiting the agriculture and farming industry.

Members are listed in a membership database on-line available to other FLC members. The database includes member names, and may include other member information, such as member group listings and areas of interest. Such information may include phone numbers and e-mail addresses. The member database is used by Directors and Delegates of FLC to contact members to update information and alert them to new educational and networking opportunities. Members may also receive other benefits which will be communicated from time to time.

How Do We Collect Your Personal Information?

We initially collect your personal information directly from you as a member when you apply for your membership.

Consent

In most cases, we will ask you to specifically consent, when we collect, use, or disclose your personal information in any way. We will ask for this consent in writing and/or through electronically through our website. Additionally, there may be situations where we may accept your oral consent or your consent may be implied through your conduct with us.

Use Of Your Information

We use your personal information to provide membership services, benefits, networking opportunities and to promote general communication among members. We do disclose your name and your email address on our website and in membership databases that are available to other members. We do not provide or sell our mailing lists to any advertising agencies or any other parties.

Disclosure Of Your Personal Information

Under certain circumstances, we may be obliged, justified or permitted to disclosure your personal information without your knowledge or consent. This may occur if we are required or authorized by law to do so by Court Order, Subpoena or Warrant. Disclosure may also occur where it is necessary to establish or collect outstanding fees or if the collection, use or disclosure is clearly in your interest and consent cannot be obtained in a timely way. If we engage a third party to provide administrative services to us (for example, computer back-up services or archival file storage, accounting services, etc): and the third party is bound by our privacy policy there may be disclosure. In any of the above cases we will not disclose more information than is required.

Updating Your Information

Since your information is used and disclosed through our website and membership database, it is important to maintain up-to-date information which is accurate so that all of the benefits and opportunities which come with membership may be accessible to all members. If during the course of your membership, any of your information changes, please inform us so that we can make any necessary changes.

Retention and Destruction Of Information

Upon the termination of your membership through death or withdrawal, within three years of the termination of your membership, all personal information on record will be deleted and/or destroyed as necessary.

How Is Your Personal Information Secured?

FLC takes all reasonable precautions to make sure that your personal information is kept safe from loss, unauthorized access, modification or disclosure for any other purposes other than those identified within this policy. Among the steps taken to protect your information are: physical premises of the FLC offices are locked and secured and are subject to restricted access: restricted file access to personal information: the use of technological safeguards such as security software, encryption and firewalls to prevent hacking or unauthorized computer access: internal password and security policies and confidentiality agreements with third parties.

Access To Your Personal Information

You may access your personal information on file with FLC at any time during normal business hours. If the access granted is not satisfactory you may contact FLC’s privacy officer.
